Executive Assistant

As an Executive Assistant, you will work closely with the Executive Directors to accomplish their day-to-day tasks.  You will handle a wide range of high-level administrative tasks including executive communication, handling of corporate documents and arranging events.



  • Working directly with the Chief Executive as well as other Executive Directors.

  • Responsible for co-ordinating, tracking, detailing and following up on work streams and actions to support overall business objectives and continual improvement initiatives.

  • Organising and co-ordinating the Directors calendars.

  • Organising and maintaining systems used by the Directors.

  • Preparing corporate documents including board papers.

  • Answer and respond to phone calls, communicate messages and information to the Directors.

  • Prioritise emails and respond when necessary.

  • Preparing presentations on behalf of the Executive Directors.

  • Organise and prepare for meetings, including agenda formation, gathering documents and arranging the logistics of meetings.

  • Minute taking and action tracking across multiple meetings on behalf of the Directors.

  • Draft, review and send communications on behalf of company Directors to internal and external audiences.

  • Being the conduit between the Directors and other departments in the business to ensure effective two-way communication channels.

  • Co-ordinating business improvement meetings and actions.

  • Sharing important business information across the organisation as required.

  • Organising on-site and off-site events including strategy days/client days/internal events.

  • Organising travel arrangements through our Business Support function.

  • You will be working in a fast-paced environment and must have the ability to be flexible in many different situations.
